1. Who we are

4Tracks Ltd. is a privately owned transportation company headquartered in Winnipeg, Manitoba, with operations in Regina, Saskatchewan and Brampton, Ontario. We provide truckload transportation, cross-docking, warehousing and delivery services across Canada and the United States.

2. Scope of this policy

This policy applies to personal information we collect from:

• visitors to 4tracks.ca;
• prospective and current customers, and their representatives, who contact us or request quotes;
• people who submit inquiry or lead forms, including forms on LinkedIn and other advertising platforms; and
• job applicants who contact us or apply through our website links.

Information about our employees is handled under separate internal policies.

3. Information we collect

Information you give us

Please do not send sensitive personal information (for example, health or financial information) through our inquiry forms.

Information collected automatically

When you visit our website, our servers and analytics tools may record technical information such as your IP address, browser type, device information, pages viewed and the date and time of your visit. See Cookies & website data.

4. How we use information

We use personal information only for purposes that a reasonable person would consider appropriate, including to:

• respond to your inquiry and contact you about our services;
• assess your freight requirements, prepare and discuss quotes, and provide the services you request;
• manage our business relationship with you and your company;
• send you marketing emails about our services, which you can unsubscribe from at any time (see section 5);
• evaluate job applications;
• operate, secure and improve our website and measure the effectiveness of our advertising; and
• comply with legal, regulatory and contractual obligations.

We do not sell or rent your personal information.

5. Consent

Handling your inquiry

When you submit an inquiry or quote form, or contact us directly, we use your information to respond to you, assess your freight requirements, discuss and prepare a quote, and provide any services you request. We need this information to respond to your inquiry.

Marketing emails

If you submit an inquiry or request a quote, we may also send you emails about our transportation, cross-docking and delivery services, as permitted by Canada’s Anti-Spam Legislation (CASL). Every marketing email includes a way to unsubscribe. You can also opt out at any time by contacting us. Opting out of marketing does not affect our response to your inquiry.

New purposes and withdrawing consent

We will ask for your consent before using your information for a purpose not described here, unless the law permits or requires otherwise.

You may withdraw your consent at any time, subject to legal or contractual restrictions, by contacting us using the details in section 15. If you withdraw consent to us handling your inquiry, we may not be able to respond or provide a quote.

6. LinkedIn & other advertising platforms

When you submit a LinkedIn Lead Gen Form for 4Tracks, LinkedIn shares the information in that form with us, and we use it as described in this policy. LinkedIn may pre-fill the form with information from your LinkedIn profile. You can review or edit it before you submit.

LinkedIn and other platforms also handle your information under their own privacy policies, which we do not control. For details on how LinkedIn processes your data, see the LinkedIn Privacy Policy.

7. Sharing & disclosure

We share personal information only as needed for the purposes described above:

• Service providers that help us run our business, such as email, website hosting, CRM, form and IT providers. They may use the information only to provide services to us and must protect it.
• Operating partners, such as carriers, cross-dock or warehouse partners, but only when needed to quote or deliver services you request.
• Legal and regulatory authorities, when required or permitted by law.
• Business transactions, such as a merger, financing or sale of all or part of our business. In that case, the information remains protected by confidentiality obligations.

8. Storage & cross-border transfers

Some of our service providers process information outside Canada. Google (Google Analytics) and LinkedIn (Lead Gen Forms and the LinkedIn Insight Tag) may store or process information in the United States and other countries. When information is outside Canada, the laws of that country apply to it, and its authorities may be able to access it.

9. Retention

We keep personal information only as long as we need it for the purposes it was collected for, or as required by law. If an inquiry does not lead to a business relationship, we delete or anonymize the information once we no longer need it to follow up on that inquiry. You can ask us to delete it sooner (see section 11).

10. Safeguards

We protect personal information with physical, organizational and technical safeguards suited to how sensitive it is. These include access controls, staff confidentiality obligations and secure systems. No method of transmission or storage is completely secure, but we work to protect your information against loss, theft and unauthorized access, use or disclosure.

11. Your rights & choices

Subject to applicable law, you may:

• ask whether we hold personal information about you, and request access to it;
• ask us to correct information that is inaccurate or incomplete;
• withdraw your consent or unsubscribe from marketing communications; and
• ask how your information has been used or disclosed.

To make a request, contact us using the details below. We may need to verify your identity, and we will respond within the time required by law (generally 30 days).

12. Cookies & website data

Our website uses cookies and similar technologies that are needed for the site to work. We also use:

• Google Analytics, to understand how visitors use our website, such as which pages are viewed and how visitors arrive. You can opt out with the Google Analytics opt-out browser add-on.
• LinkedIn Insight Tag, to measure the results of our LinkedIn advertising and show relevant ads to people who visited our site. You can manage this in your LinkedIn advertising settings.

Most browsers let you refuse or delete cookies. Some parts of the site may not work properly if you do.

13. Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 16.

14. Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version on this page and change the “Last updated” date. Please check this page from time to time.
